insert AutoText to replace a set of characters with a full name or
even a whole letterhead or standard paragraphs.

- Automatically creating headings, bullets,
lists, borders, numbers, fractions, and replacing certain characters

AutoShape
- One of the pre-defined shapes that you can insert from the Insert
ribbon.

When you click the Formula button, Word automatically adds up the numbers in the
column above or in the row beside the selected cell.
- AutoText
- An automatic feature that inserts often used text. For example, you can create an AutoText entry of your favorite closing phrase and signature lines for letters. Just starting the phrase will put the whole set of lines in your letter.

- baseline
- The invisible line that text sits on.
- bibliography
- A listing of all the sources used to research
the document.
- bitmap
- A type of image format which describes each pixel in the image.
Extensions for bitmap formats include BMP, GIF, PNG, TIFF, JPG and JPEG.
- block quote
- Text that is indented from both left and right
compared with normal text. This formatting is used to set off quotations
from regular text.
- Bold

The Bold button makes the selected text wider and darker, like this.
- border
- The area around the outside of an object. The
border may not be visible, depending on the choices for formatting.

Puts a line
around something, like a paragraph or an image. You can chose which edges to
show.
- Bring Forward
- Brings the selected item up one item in a stack of items, such as images
or text boxes or both
- brochure

A document that folds, creating
two or more panels

- break
- A point in a document where the layout changes. See Page break, column break, section break.
- Browse Objects

Opens a dialog that lets you browse the document by page number,
division, bookmark, etc.
- bullet
- A shape that marks each item in a bulleted
list. The standard shapes are a circle, a square, and a disc, but any
character from a symbol font can be used.
- bulleted list
- A list which has a shape instead of a number at the front of each item in the list.
- Bullet Library
- A set of shapes for use in bulleted lists in any Word document.
- button
- An image or text or combination of both that can be clicked to perform
an action. Originally these were images that were drawn to look like buttons
on a calculator or some such device. Now the emphasis is on the action, not
the look.
- cell
- The smallest part of a table, formed at the
intersection of a row and column.
- Center

Aligns the selected text or
image in the center of the text area
- character
- A single letter, number, or other special
character, like #, $, and %
- character spacing
- The distance between two characters. Every font
has a standard spacing, but this can be changed with the Character
Spacing tab on the Font dialog.
- character style
- A saved combination of the font, font size, and
font style that will be applied only to the selected characters instead
of to the whole paragraph.

check box
- A box on a ribbon or dialog which can be checked or unchecked to turn a feature on or off.
- citation
- A source which was used as the source of a
statement in a document.
- Clear formatting
- Choice in Styles
that returns the paragraph to Normal, or returns selected text to the underlying
paragraph style.
- clip art
- Images that are intended to be pasted into
documents
- Clipboard
- A feature of Windows and of Office programs which remembers what you
just cut or copied from your document. You can move the cursor to a new
location and paste what you just cut or copied there. Windows Clipboard
holds only one thing at a time. Office Clipboard can remember up to 24
selections in Office 2007/2010/2013.
- Clip Gallery
- A program that manages clip art, videos, and
sounds. It runs only from within a Microsoft program.
- column
- A section of text that has a narrower margin so
that two or more will fit across the width of the page.
- Columns

Arranges your selected text into columns on the page.
- column #
- On Word's status bar the column number counts
how many characters from the left the cursor position is. This is
inherited from the typewriter where each character is the same
width.
- Column Break
- Forces following text to the top of the next
column
- combo style
- A formatting style that can be applied to both selected text and to
whole paragraphs.
- command button
- A button or clickable text that will immediately perform an action, such
as making selected text bold or pasting from the Clipboard.
- condense
- Reducing the space between characters.
- context tab
- A tab on the ribbon that appears only when needed, that is, when the
correct type of object is selected. For example, Table Tools only appear
when a table is selected or the cursor is in a table cell. Picture Tools
appears only when a picture is selected.
- Continuous Break
- A break which does not force a new page but
does allow layout changes.
- control icon
- The icon on the left of the title bar in many programs, including Word
2010 and 2013 but not Word 2007. Each
window has its own icon. Clicking the control icon opens the control
menu of commands for controlling the placement and size of the window.
The control menu also appears when you right click the title bar.
- Copy
The Copy button places a
copy of the selected material on the Windows Clipboard, where it is
available to be pasted somewhere else.
- copyright
- The original author/creator of a book, video,
or other work of intellectual property has control of how that material
is used or copied.
- crop
- To cut off part(s) of an image
- cursor
- The symbol for where your typing will appear.

- custom dictionary
- The words that you add to Word's Spell Check
feature.
- Customize
- To modify the defaults. You can customize the Quick Access bar by adding
or removing icons. You can change Word's Options to customize its behavior,
such as whether or not marks are shown by default.
- Cut
The Cut button places a copy of the selected material on the Windows Clipboard and removes it from the document.
- cut-and-paste
- A method of moving text, etc by first cutting
it from the original location and then pasting it in the new location.
- Date/Time
- A Windows dialog that lets you set the computer's date and time;
A menu command that
lets you insert the current date and/or time into a document.;
Button on the Header/Footer toolbar that lets you insert the date and/or time.
- Default
- The settings after installation or what happens if you make no particular
choices.
- delete
- To remove or erase. You can delete text or images
by selecting and pressing the DELETE key, or by clicking the Cut button
and not pasting anywhere. You can backspace over text to remove characters
to the left of the cursor or use the DELETE key to remove
characters to the right of the cursor.
- deprecated
- Made obsolete; removed; no longer supported.
- dialog box launcher

A small diagonal arrow button at the bottom right of a group on a tab in the
ribbon which opens a dialog box or a pane.
- Distribute Columns Evenly

Makes all selected columns the same
width, within the existing space.

- dockable
- Can be attached to the edge of the screen or
window like the normal menu or Taskbar. Toolbars in Word can float free
and be dragged around the screen or dock at an edge.
- Document map

Word 2007: An outline on the left of the document display
in Word 2007 that is based on the paragraphs that use a heading style.
Clicking on an entry scrolls the document to that point in the document.
This is called the Navigation pane in Word 2010 and 2013.
- document properties
- Characteristics of a document that are about what is in the document,
such as the number of words in a Word document or the template used to
create it. File properties are about the file as a whole, but not what is
inside.
- Draft view
- A view of the document that allows for quick typing of text and rough
placement of images and tables. It does not show quite how the pages will
look in print.
- drag-and-drop
- A method of moving an object by selecting it,
dragging it to the new location, and dropping it there.
- Draw Table

Changes the pointer to a pencil,
with which you can draw a table and divide it into rows and columns.
- drawing object
- An object created or which can be edited by the
Drawing toolbar. Includes text boxes, AutoShapes, and drawings made by
combining shapes.
- drop list
Clicking a button or menu drops a list of choices, such as fonts or font
sizes.
- endnotes
- List of citations and explanations following a chapter or at the end of the document.
- end-of-cell mark

Symbol used to show where cell contents stop.
- end-of-row mark

Symbol used as a selection handle for a table
row. Same symbol as end-of-cell.
- Eraser

Changes pointer to an eraser
shape. Used to remove lines from a table.
- Even Break
- A section break which applies only to
even numbered pages. Used especially for headers and footers that are
different on facing pages.
- expand
- Increase the space between characters.
- field
- An area in the document that displays
information that can be updated, like the current page number, total
number of pages, current date, author's name, number of words in the
document.
- file properties
- Characteristics of a file such as filename, path, size, date created,
date modified - facts about the file as a whole. Programs like Word may add
other document properties, which might be viewable only from inside that
program. Document properties describe the contents of the document. More
recent versions of Windows will show many document properties of Office
documents as file properties.
- fill
- A background color, image, or texture that fills the area, either a
table cell or a drawing object.
- filter
- Import: A file which tells Word how to handle files that are not Word files, like images or word processing documents created by other programs.
- Find
- A dialog which lets you search for particular
words, phrases, or formatting.
- Find and Replace
- A dialog which lets you search for particular words
or phrases and replace them with something else.
- float
- An object that floats can be dragged around on the screen without disturbing other things on the screen. Toolbars and palettes can often float. In Word, text can wrap around a floating document object.

font
- A complete set of characters - alphabet,
numbers, standard symbols- with a particular look or style. You apply a font to selected text with the Font drop list. In the list, the symbol at the far left shows the type of font, usually Open Type Font or True Type Font. The name of the font is displayed using the font itself except for symbol fonts and those for languages that use a different script, like Hebrew, Thai, Japanese, etc.
- font color

The color used for text, applied with the Font Color button.
The arrow opens a palette of choices.

- font style

Bold, Italics, Underline
- font size

The size of the
characters in points, where 1 point is 1/72 of an inch. Applied to selected text with the Font Size drop box.
- The area to the bottom of the page that is
reserved for text that will appear on every page. Commonly used for page
numbering.
- A short explanation of something in the main
text or a citation of the source of the information. Footnotes are in the page footer or else gathered together at the end of the article or chapter.
- formal report
- A report which must have a particular
formatting and professional look.
- format
- file format: The rules for how the file records information
text format: The font,
font size, font style etc. for the text
shape format: The type of border - line type, line width, line color - and fill of a shape as well as any effects, like shadow, glow, or rotation.
document format: The overall look and
feel of the document including margins and other page layout features.
- Format Painter
-
This button copies the formatting of the selected text and applies it to
the text that you drag across next. Double-clicking the button allows
you to apply the formatting multiple times, until you click the button
again.
- formula
- A mathematical expression which calculates a
value, such as adding up a column of numbers or averaging a list of
numbers.
- Full screen view
- Removes the toolbars to maximize the area
available for displaying the document.

gallery
- A display of a set of choices, such as colors or styles.
- Go To
- Part of the Find and Replace dialog which
allows you to move to a particular part of the document by choosing a
page number, a bookmark, a division, etc.

gradient
- A gradual color change across a space. The
example changes from yellow to orange.
-
gradient
stop
- A marker on the gradient color bar for a specific color. The colors
change gradually from one to the next along the bar. These colors are used
as fill for shapes and text.
- Grammar
- Checking grammar is only somewhat helpful. Word can only advise about possible errors. You must
judge if it is actually a mistake.
- grid line
- Lines which divide columns and rows in a table.
- group
- Images: Two or more drawing objects which are tied
together to behave as a single object
Ribbon: A set of related
controls on a ribbon tab, such as for formatting a paragraph or setting
options for a table
- handle
- Small squares at the corner and center of sides
of drawing objects, text boxes, and frames. Dragging a handle changes
the size of the object. Hold SHIFT down while dragging to keep
proportions constant.
- hanging indent
- The first line of the paragraph extends further
to the left than the rest of the paragraph.
- hard page break
- A page break that will occur regardless of text
wrapping. Insert with CTRL + ENTER. Called a Next Page break in the
Break dialog.
- The area at the top of the page that is
reserved for text that will appear on page of the document. Often used
for page numbers, section titles, document title, author's name.

Highlight

Places a background on
the selected text
, just like drawing across the
text with a highlighter pen. Pale colors work best unless the text is
already in a
pale color.
- horizontal ruler
- Fits across the top of the document window. Allows you to adjust widths of margins, columns and table cells. You can set, move, and delete tabs on this ruler.

- I-beam
- Shape of the mouse pointer when typing or editing

- import
- To bring in from an outside source, as in importing an image into a Word document.
- indent
- To add blank space on the left or right. This definition is indented from the left margin compared to the line above it.
- inline image
- An image which is in the same line as the text.
- insert
- To put something in between two or more other objects, as in inserting new text in the middle of a line of text.
- Insert
- A menu or ribbon tab which contains objects that
can be inserted into your document, such as breaks, date, page number,
image, text box, and footnote.
- insertion point
- The position where the cursor is when you insert new text.

Insert Row
- Inserts a new row for the current table. You choose Above or Below from the
right click menu.
- Italics
-
A style for characters which angles the letters and makes them thinner.
- Justify
-
To adjust the spacing of characters so that both the left and the right margins are even.
Example of justified text: This is a paragraph that is justified. The right margin is forced to be even just like the left. This is accomplished by adjusting the spaces between words, letters, and sentences.
The last line of the paragraph is allowed to be shorter than those that come before.
- kerning
- Adjusting the spacing of particular letters,
such as capital T and lower case o, which look further apart than letter combinations like tl because of
their shapes.
- keyword
- A word used in searching. Clip Art from Microsoft has keywords assigned so that you can search for images without having to know the name of the image file.
- letterhead
- Paper which contain a company or person
identifying information, such as address, phone number, company
officers.
- line
- A row of text across the page, even if it is blank. The Status bar shows what line the cursor is currently on.
- line break
- Where a line of text is forced to break so that
the following text is on a new line. Create a line break with SHIFT +
ENTER.
- line color
- The color of a border or of the lines drawn in a graphics program like Paint.
Table:
The Line Color button
sets the color for lines drawn by
the pencil shape pointer from Draw Table.
- line spacing
- The space between lines and the space above and below
paragraphs.
- line style
- What a line looks like - solid, dotted, dashes, repeated image.
Table:
Sets the style of lines drawn by
the pencil shape pointer from Draw Table. Lines may be solid or dotted,
single or double.
- line width
- Thickness of a line.
Sets the thickness of the lines
drawn by the pencil shape pointer from Draw Table.
- link
- Web: The URL of a web document or image.
Text boxes: Text boxes that are linked are connected behind the scenes. Text flows from one to another. Linked text boxes can be used to create newspaper columns that will flow onto a new page.
- linked style
- A combination of paragraph and character styles. When applied to selected text instead of a whole paragraph, only the character styles are applied.

- lowered position
- Text which has its bottom edge below the
baseline.
- macro
- A short piece of programming that performs a task, usually to automate a task that is done often.
- macro virus
- A computer virus which is attached to a Word
document or template as part of a macro
- magnifier
Word 2007: Check box on Print Preview ribbon. It switches the mouse pointer from zooming to editing while in Print Preview.
- margin
- The blank area between the edge of the paper and the text..

- merge cells

- mode
- One of several features of Word that can be toggled on or off..
- Mode Indicator
- A symbol on the Word window status bar that shows where a mode is on or not..
- More button

Down arrow with a bar above which appears at the right of a button.
Clicking the More button opens a larger list or gallery of choices.
- Navigation pane
Word 2010, 2013: A pane at the left of the document which shows a list of
paragraph headings. In Word 2007 a similar feature is called the document map.
- New
- Command that opens a choice of templates for a new document. The blank
document template is chosen by default.
- newspaper columns
- Also called snaking columns. Text flows from
the bottom of one column to the top of another column, which may be on
another page.
- next page break
- Forces following text to start at the top of the next page. Also known as a hard page break. see hard page break
- no-print area
- The part of the page that the printer cannot print on.
- normal position
- Text which sits on the baseline is in normal
position.
- Normal view
- The default view of a document in Word. Shows all the text and images but not arranged as they will be when printed.
- Normal.dotx
- The default document template in Word 2007, 2010, and 2013.
- numbered list
- A list where each item is numbered, like:

- Second item
- Third item
- Odd Break
- A section break which applies only to
odd numbered pages. Used especially for headers and footers that are

- Office Clipboard
- Holds up to 24 items
that you have Cut or Copied from an Office program.
- Open

- Options
- A dialog with many settings that control how Word behaves.

- outline
- Shape or Text: The edges of the shape or text characters
- outline level
- An outline is divided into several numbered levels, with 1 being the highest level in the document. Each level in the outline tree represents the same depth into detail in the document.
- Outline view
- A view of your document that shows only the lines that use a heading style
- overtype
- Your typing replaces the existing characters.
- OVR
- On Word's status bar, OVR indicates that
Overtyping is turned on. Your typing will overtype existing characters.
- page
- Document: The amount of text and images that will print
on one sheet of paper
Dialog: A section of the dialog displayed separately by clicking on the name in a navigation pane.
- Page Break
- Forces the following text to start on a new
page.
- Page Layout view
- A view of your document that arranges the parts as they will be printed
- Page Setup
- a dialog which allows you to control some
aspects of how your page will print. It has tabs for margins,
orientation, paper size, and layout
- palette
- 1. A set of color choices. In art, a palette is a board
on which you mix paint colors together to get the exact color that you
want.
2. A set of choices displayed in some way besides a list of
names.
- paragraph
- English: A set of sentences which express a single thought or
concept
word processing: Text that is considered as one unit for wrapping the text onto the page. It can be a
single word or several sentences.
- Paragraph dialog
- The Paragraph dialog allows you to control
indentions and spacing of the paragraph and such issues as keeping
paragraphs together.
- paragraph style
- A named set of formats for a paragraph like Title, Heading 1, List paragraph, or Quote.
- parenthetical references
- State the author and page number of the source of the marked material by enclosing them in parentheses and writing them inline, like (Smith 10).
- Paste

Puts the contents of the Windows Clipboard at the cursor location.
Arrow below opens a list of choices for how you want the paste to work.
- Paste Options
-
When
you paste, a small button appears that opens a list of the choices
available for how you want to paste. You
usually can keep the original formatting or use the formatting at the
destination location or paste plain text. Word 2010 and 2013 use icons for the
choices instead of text commands. If you hover over an icon, a ScreenTip pops up to tell you what it will do.
- pin
- Fix an item in place on a list or location, such as the Start
menu, Recent Documents list or the Task bar.
A pinned item will be there no matter how many other recent items are used.
- pixel
- A single dot on a screen or in a printed image. The word comes from
"picture element".
- pointer
- The symbol that shows what location will receive
the action of a mouse click.
Normal selection shape.
- position
- Where the text is compared to the baseline. Values are normal, raised, and lowered.
- Print button

Various
sizes and locations. Usually prints immediately with the current printer
settings.
- Print Options
- A dialog that gives some choices for your print job, like to use background printing or whether to update the fields before printing.
- Print Preview

Quick Access Toolbar button: Shows a preview of how the page will look when printed.
- Printer Properties
- A dialog that gives the choice for configuring
the printer, like for what color ink to use and what quality to print with.
- priority
- Which items are more important or come ahead of others. In
particular, how paragraph styles are listed in the Styles gallery or
Styles pane.
- properties
- Every object in a modern operating system has properties, such as
size and creation date. Documents may have many properties like author
and last date modified. Images have properties like length, width,
resolution.
- public domain
- An image or document is in the public domain once its copyright has
expired or if the owner declares it to be in public domain. This allows
anyone to use it without worrying about fees and copyrights.

Quick Access Toolbar
- A small toolbar for commonly used buttons which sits at the upper left corner of of the Title bar. It shows no matter which ribbon tab is open.
- Quick Style
- One of the pre-designed styles that combine several formatting choices
for you.
- raised position
- Text which has its bottom edge above the
baseline.
- royalty free
- Payment for using an image or document is called a royalty. If there is
no fee, then the image or document is royalty free.
- recipient
- The one who receives something, like a letter.
- Redo

To do an action that was just undone.
- reference
- The source of material from others. Can be written as a footnote, endnote, or as parenthetical reference.
- Repeat
-
Repeats the last action when clicked.
- Replace
- A dialog which lets you replace described text
with specific text.
- report
- A document intended to explain a topic or present information about the
status of a company or a project. A formal report cites references for the
statements in the report.
- Restore
-
To return a window back
to its original size after having maximized it.
- ribbon
- A display of commands and features, replacing the toolbar starting with
Office 2007, that is intended to make it easier to find the tool or command
that you want.

- rights managed
- An image or document that is copyrighted by its owner may be available
for some uses but not for others. The rights are managed.
- row
- A line of cells going across a table horizontally.
- ruler
- Looks like a ruler running across the top or
down the left side of the document display.
- Save
-
Saves the file to a disk otherwise in the current location with the current name. If the document has not been saved before, the Save As dialog opens. Then you must choose the name and folder to save in.
- scaling
- Changes the width of a font by a particular
percentage but not the height
- scrollbar
- An area on the right or bottom of a window that allows you to move around a document that is too large to fit in the window.
- section
- A separate document or a document part that is arranged to have different margins, columns, header, or footer than the rest of the document.
- Section Break
- Creates a section of a document that can have
different layout features from the rest of the document, such as header,
footer, columns, and margins.
- select
- If an object or text is selected, your next
keystrokes will apply to it. Select a drawing object by clicking on it.
Select a text box by clicking its border. Select text by dragging across
it.
- selection area
- A narrow area to the left of the text. Clicking in this area can select part of the document.
- selection shape
- Shape of the mouse pointer
when you can select lines from the selection area - arrow angled to the
right
- Send Back
- Sends an item in a stack down one item, such as overlapping images or
text boxes or both.
- shading
- Background color or patterns.
- Show/Hide Marks

Highlighted button means that the non-printing marks are showing, like for the end of a paragraph or a tab.
If the button is not highlighted, the marks are not showing.
- Shrink to Fit / Shrink by One Page

Attempts to reduce document length by
one page. Resizes all fonts. This command must be added to the Quick Access
Toolbar or to a custom tab or custom group from the list of Commands not
found on the ribbon.
- Smart Tags
- Old name for Actions, text that Word recognizes and for which it has
options, such as a phone number or address which can be added to your
Outlook Contact list.
- soft page break
- Starts text on the next page of the document
because of text wrapping. If text is added or deleted, the location of
the soft page break will change.
- Sort Ascending

The Sort button opens a dialog. Choose Sort Ascending to sort data in alphabetical order, A- Z.
- Sort Descending

Split document view
- A view of your document that shows two different parts at the same time,
each with their own scrollbars and view.

- Area at the bottom of the window that, in Word, shows document information like what page is showing, the total number of pages, where the cursor is on the page.

- Many uses of this word! Basically a style is a combination of formatting choices. A paragraph style is applied to a whole paragraph. A character style is applied to selected characters.
A font style is a variation on a font such as italics, bold, underline, or
superscript. A color style is a set of coordinated colors that will change if a new color style is applied. A table style is a combination of shading, font, font size, and
font style choices for a table.

- A dialog which lets you select from a vast
number of formatting choices and save the combination under a name of
your choice.

- A set of pre-constructed formatting schemes.
- Styles pane
- A
pane in that displays your styles (paragraph, character,
combo). It can be set to show styles + formatting that you have applied yourself. The New
Style button in this pane opens a dialog to create a new style. Modify a
style by right clicking it and choosing Modify or Update to Match Selection.

- A collection of paragraph and character styles.
- superscript
- Numbers or symbols written raised above the normal text line, usually smaller in size than the normal text, like 4.
- tab
- Ribbon: A section of the ribbon with its own name and tab, like a file
folder. A ribbon tab stretches across the width of the window.
Alignment: To move the text over a set amount. Used to create columns without using a table or to create indentions.

- A mark on the horizontal ruler that shows to where pressing the TAB key will move the text

- A set of table cells in rows and columns. Useful for lining up data like numbers or keeping images and text in proper alignment

- A pre-designed set of fonts, font color, shading, and borders for a
table.

- Window area to
the Window area to
the side of the document window. Shows useful shortcuts or tools.

- Word: A document with a special format that can be used
to create a new document, without risk of changing the document used as the
template. A template contains
paragraph and character styles and may as well include text or images, like for a letterhead..

- A small image of a picture. Shows on the right
of an Open dialog so you can see if the image is the one you want before opening or inserting it..

- A set of command buttons and controls, displayed in a floating palette
or (in older versions of Word) in a row across the window..
- tri-fold brochure
A brochure which folds from both ends toward
the middle, creating 3 panels.
- TrueType font
- A font which is resizable and will look the same on the screen as on paper
- Underline

Arrow drops a list of styles for the underline.
- Undo

Reverses the last action. Word keeps an Undo list which can be as long as your memory will hold, up to 100 items.

- A type of file format for images that used equations to describe the
image. Examples of extensions for vector images are CGM, SVG, WMF, CDR.

- How the text lines up vertically in a cell. You can choose a combination of horizontal and vertical alignments.
- vertical ruler
- An area on the left of the document page that lets you measure margins and other distances.

- One of several ways to display your page: Print Layout, Web Layout, Full

- A small computer program which attempts to do
something on your computer that you did not authorize. Some are just
annoying. Others are very destructive.
- Web Layout view
- A view of your document which shows how it would look as a web page, wrapping to the window instead of the page of paper

- The space surrounding text and images in the document - empty space.

- The button at the upper right of the title bar that control the window. The look varies with the version.
